{"id":2070,"date":"2017-12-12T10:31:38","date_gmt":"2017-12-12T15:31:38","guid":{"rendered":"https:\/\/sciencescosmaincms.cm.ucf.edu\/research\/?page_id=2070"},"modified":"2026-01-27T09:45:35","modified_gmt":"2026-01-27T14:45:35","slug":"door-access-control-keys","status":"publish","type":"page","link":"https:\/\/sciences.ucf.edu\/research\/door-access-control-keys\/","title":{"rendered":"Door Access Control &amp; Keys"},"content":{"rendered":"<p style=\"text-align: center\"><strong>\u2022 The current <a href=\"https:\/\/policies.ucf.edu\/documents\/3-105.pdf\" target=\"_blank\" rel=\"noopener noreferrer\">Policy: 3-105.1: <\/a><a href=\"https:\/\/policies.ucf.edu\/documents\/3-105.pdf\" target=\"_blank\" rel=\"noopener noreferrer\">University <\/a><a href=\"https:\/\/policies.ucf.edu\/documents\/3-105.pdf\" target=\"_blank\" rel=\"noopener noreferrer\">Keys and Access Control<\/a>\u00a0\u2022<\/strong><\/p>\n<p>&nbsp;<\/p>\n<h2>UCF ID Cards<\/h2>\n<p>&nbsp;<\/p>\n<h3>Adding UCF ID Card Access<\/h3>\n<ul>\n<li>The individual requesting access should discuss the need with the faculty member or faculty member(s) if it is a shared space, to obtain a list of any required training or documents.<\/li>\n<li>For labs or rooms that require training, the faculty member should wait until they receive a notification from EHS stating that training is complete BEFORE they confirm access should be provided.<\/li>\n<li>Then, the individual requesting access should complete the appropriate electronic form using the link below:<\/li>\n<\/ul>\n<p style=\"text-align: center\">\t\t\t<a class=\"btn btn-primary\"\n\t\t\thref=\"https:\/\/sciences.ucf.edu\/for-faculty\/door-access-control\/\"\t\t\t\t\t\t\t\t\t\t\t\t\t\t\t\t\t\t>\n\t\t\t\tDoor Access Request\t\t\t<\/a>\n\t\t\n<ul>\n<li>The electronic form is then routed to the \u201cUniversity Access Control Representative (UACR)\u201d associated with the department (see list below).\n<ul>\n<li>The University Access Control Representative should confirm with the supervisor that the required training has been completed.<\/li>\n<li>The request must be reviewed\/approved by the chair\/director if one (or both) of the following situations exists:<i><\/i>\n<ul>\n<li>If the individual is not affiliated with the university or potentially has a conflict (e.g., works for an outside company)<\/li>\n<li>If the access is for a sensitive or restricted access room.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<li class=\"link www\">The door University Access Control Representative will forward the online request to the College of Science\u2019s Dean\u2019s Office for implementation to <a href=\"mailto:cosdooraccess@ucf.edu\">cosdooraccess@ucf.edu<\/a><\/li>\n<\/ul>\n<h3><\/h3>\n<h3>Removing Key Card Access<\/h3>\n<p>Removal of ID card access is initiated by the University Access Control Representative sending an email to <a href=\"mailto:cosdooraccess@ucf.edu\">cosdooraccess@ucf.edu<\/a> with the name of the individual(s) whose access needs to be modified or removed.<\/p>\n<h3><\/h3>\n<h3>Reviews<\/h3>\n<ul>\n<li>The Dean\u2019s Office will initiate a review of all ID card access after the end of each semester.<\/li>\n<li>Each unit will need to confirm the access and the individuals\u2019 affiliation with UCF to retain access.\n<ul>\n<li>If not confirmed, an individual\u2019s access will be removed automatically<\/li>\n<\/ul>\n<\/li>\n<li>Access for anyone whose affiliation is changing from UCF employee or UCF student to volunteer will need to provide the supporting documentation (i.e., completed and approved volunteer agreement).<\/li>\n<\/ul>\n<hr \/>\n<h2>Metal Keys<\/h2>\n<h3>Traka Boxes<\/h3>\n<p>The university utilizes the Traka Box system to distribute keys during work hours for university-related Purposes. Please visit the <a href=\"https:\/\/fo.ucf.edu\/traka-box-services\/\">Trak Box Services<\/a> Page for more information.<\/p>\n<p>&nbsp;<\/p>\n<h3>Adding\/Issuing Metal Key(s)<\/h3>\n<ol>\n<li>The individual requesting metal key(s) should discuss the need with the appropriate Faculty member, staff, or Department Chair, to ensure the Department policies are being followed.\n<ol>\n<li>In a building with key card access, the issuing of metal keys is limited, especially for spaces designated as sensitive or restricted access rooms, including laboratories.\n<ul>\n<li>It may be acceptable for the Dept. Chair, Administrative Staff, and the Faculty\/PI to have a metal key for their lab.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<\/li>\n<li>If approved, the key request is submitted via the Facilities Operations workflow in PeopleSoft. Every department has designated a University Access Control Representative (UACR). The UACR has access to submit key requests (see list below).<\/li>\n<\/ol>\n<p>&nbsp;<\/p>\n<p><strong style=\"font-size: 1rem\">Removing\/Returning Keys:<\/strong><\/p>\n<ol>\n<li style=\"list-style-type: none\">\n<ol>\n<li style=\"list-style-type: none\">\n<ol>\n<li>When a key holder is no longer an employee or no longer needs to have access to a particular room for which a metal key was issued, the respective metal keys issued to the key holder must be returned to the Department.<\/li>\n<li>Metal keys will then be returned to Facilities Operations by the UACR.<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<p>&nbsp;<\/p>\n<p><strong>Lost and Stolen Keys<\/strong><\/p>\n<ul>\n<li>If a key is lost or stolen, it is required that a report be made to the UCF Police Department and the UCF locksmith.<\/li>\n<li>Consider the option of re-keying the locks of any affected spaces from which keys are missing.
