Available Records Access
Access to the following student records systems can be requested and approved by the College Security Authorizer. These include the following:
• PeopleSoft
o Advisor Self Service
o Student Records I and II
• myKnight Audit
o Undergraduate student degree audits
• Other Advising/Records Systems
o DocView
o RDS
o Pegasus Mine Portal (for OPS employees)
o Undergraduate Change of Major processing
o Graduate ITG, Catalog Updates
To obtain access to any of the above systems, please submit the Request for Security Authorization form, SecurityAccess form_ProgStaff_Sept. 2020 to Donna Oppenheim as the Security Authorizer. Depending on the type of access requested, Donna will review and forward to the next appropriate party for processing. If you are a member of the Deans office staff, please use this form SecurityAccess form_Deans Office Staff_Sept. 2020
Basic Training Requirements
FERPA Online Module (SR100W) must be completed before requesting any security accesses. Additional prerequisites may also be required. See the Security Access form for more information.
To gain access to the secure student records systems, employees are required to complete FERPA (SR100W) and PeopleSoft Basic Navigation (PSC001) prior to being approved for any additional security authorization. Depending on what access is requested, additional online training and/or workshops may also be required. All security access must have supervisor authorization prior to obtaining approval from the COS Security Authorizer.
Enrolling into UCF Training WebCourses
1. Log on to the myUCF portal using your PID and myUCF password
2. On the myUCF menu, select Employee Self Service
3. Select Learning and Development
4. Select Request Training Enrollment
5. Click on the ‘Search by Course Number’ and enter the course number (ex. SR100W for FERPA online module)
6. Click on the session you would like to enroll into and complete the course as per the requirements
(note: the session may not be immediately available, but is a 24hr/7-day web module)
Material, Supply and Lab Fee Report
This report allows you to see the revenue details per class. The report will be broken down into each class, the fee amount per student, and the total fees collected. To request access to this report please submit the Request for Security Authorization form, SecurityAccess form_ProgStaff_Sept. 2020 to Donna Oppenheim. As the Security Authorizer she will review and forward for additional approvals and access. The form should include the list of department numbers (i.e. 240×0801).
Equipment Fee Report
This report allows you to see the revenue details per budget unit. The report will list each individual charged and the total fees collected. To request access to this report please submit the Request for Security Authorization form, SecurityAccess form_ProgStaff_Sept. 2020 to Donna Oppenheim. As the Security Authorizer, she will review and forward for additional approvals and access, The form should include the list of department numbers (i.e. 240×0802).
Scheduling
Access to update course schedules, update schedule of classes, view class associations, and view the course catalog. Approval is confirmed by the COS Security Authorizer in conjunction with the College Scheduler. To request this access, please submit the Request for Security Authorization form, SecurityAccess form_ProgStaff_Sept. 2020 to Donna Oppenheim. As the Security Authorizer she will review and forward for additional approvals and access. The form should specify the type of scheduling access being requested.
