Officer Meeting
Location: Psychology building, graduate student lounge
Present: Katie Del Giudice, Tim Smoker, and Sidra Van De Car
Old Business:
Budget
- There is $2447 in the society’s account. The chapter has allotted $20 towards food during orientation.
- There is no ledger for the budget. Tim will start an EXCEL file beginning with this year’s balance. We are leaving $20 out as petty cash. Tim will be the only one to withdraw money & all receipts will be given to Tim to log the transaction.
- The chapter has decided not to offer a $500 scholarship to an incoming graduate student this year as last year’s fundraisers did not raise enough money to cover it.
Orientation
- Calendars will be given out at orientation as a gift and encouragement to join our chapter.
- The chapter has allotted $20 towards food during orientation.
Membership Issues
- The current e-mail list has been identified as a problem because not everyone is on the same list. The list was moved to the website, which the chapter now feels was a bad idea.
- We will pull e-mail lists from Psychology and Modeling & Simulation and send invitation to students to join the e-mail list for HFES. Tim will be in charge of obtaining those lists & Sidra will track down who is moderator of Yahoo!
- We need to focus on undergrads this year in terms of recruiting. One suggestion is an ongoing “problem of the month contest”, perhaps starting with a scavenger hunt for bad designs on campus. Justin Morgan has donated the Chris Wicken’s bag as a prize for the first contest with the suggestion that the recipient should hand it over next year.
- We need workshops for this year because they went over really well last year with everyone who attended.
- We need a once a week event and dinner & drinks after monthly meetings. It is suggested that we host three weeks of coffee on campus & once a month host a happy hour at Barnies.
- We need to bring sodas (or something) to every meeting.
- We need a once a month brown bag where someone presents their research.
New Business:
Officers
- Katie nominates Devin Pavlas or Holly Blasko-Drabik for public affairs chair.
- Mike Curtis wants to get TPL involved in activities and meetings this year. Tim nominates him for social chair.
- There is agreement among the officers that first year members should not be officers (but could be chairs).
- The NEM chair organizes for NEM. Justin will be a co-chair if we find another person to work with.
Fundraisers
- We need ideas for fundraisers.
- Having people turn in designs for t-shirts was poor turn-out.
- Valet car wash at PII may be a good idea.
Dues
- Prices for membership need to increase so that undergraduates are paying for more than just the barbeque.
- We agreed to lower the price of membership from $10 to $7
Miscellaneous
- November 8th is national usability day. Tim suggests we host UPA (would be on campus around 1pm)
Review/To-Do Lists:
Katie
- Will be responsible for chapter duties involved with orientation this semester.
- Make contact with individuals nominated for remaining chairs.
Tim
- Obtain list of e-mails for students in Psychology and the Modeling & Simulation program.
Sidra
- Identify moderator of Yahoo! list nd as to be put as a moderator.
Unassigned
- Initiating the problem-of-the-month contest.
- Organization of workships for the upcoming year.
- Responsibility for organizing our once-a-week social gathering.
- Responsibility for bringing drinks/food to chapter meeting each month.
- Organization of the once-a-month brown bag lunch.
- Fundraisers.
